What is Vortex PropList?
Vortex PropList is a listing and lead platform for UAE brokerages that makes one property record the single source for every portal, your website and your CRM.
The problem it solves is repetition and drift. A brokerage with 100 listings on three portals and a website is maintaining 400 copies of the same data. Every price change, every photo swap, every status update is made four times, or made once and forgotten three times. Listings go stale on one portal while they are current on another. Agents do not know which version is live. Enquiries arrive in four inboxes.
PropList replaces that with one listing, one set of photos, one price, one status, published everywhere from the same record, and one queue where every enquiry arrives already attached to the property and the agent.
What does a brokerage lose without a single listing record?
Time, money and leads, in that order, and most of it invisibly.
An agent entering the same listing on three portals and a website spends an hour on data entry per property. At 20 new listings a month, that is a working week lost to typing.
Listings that expire on one portal and stay live on another, or that drift out of sync on price, waste the portal slot you pay for and confuse the buyer who sees two prices.
Enquiries that land in a portal inbox, a website form and an agent's personal email are three separate places a lead can sit unanswered. Nobody sees the whole picture, and nobody can measure which portal produced the sale.
PropList exists because every UAE brokerage VortexWeb worked with had the same three leaks, and none of them could see the size of the leak until it was closed.
How does Vortex PropList publish to every portal at once?
A listing is created once, submitted for approval, checked against four gates, and pushed to every connected destination in one step. Each destination then reports its own status back.
The listing carries everything: details, photos, price, Trakheesi permit and expiry, agent and broker card. Nothing is entered anywhere else.
Every listing must pass permit validity, listing completeness, approval and portal readiness before the publish button becomes active. A listing at "one gate failing" tells the agent exactly what is missing, before anything is sent.
Agents submit. An admin approves, and approving publishes and syndicates in one step, with every gate re-checked at the moment of approval. Property Finder receives the listing through VortexWeb's API agreement as a Property Finder Developer Network partner. Bayut and dubizzle read the brokerage feed hourly, with the permit field on every item.
Each listing shows its status per portal: live, queued, not sent, or rejected with the portal's error attached. A Bayut rejection for an image below minimum resolution shows exactly that, next to Property Finder and dubizzle still live. Fix the image, retry that one portal, done. One push per portal per listing, on a worker with retry.
Change the price, swap a photo, mark it sold, and every destination updates from the same record.
How do leads reach the CRM?
Every enquiry from every destination arrives in PropList as a lead, keeps its source for life, and is pushed into your Bitrix24 with the source ID attached and a delivery confirmation.
A buyer enquires on Property Finder, another on Bayut, another through your website. All three land in the leads queue against the listing they came from, assigned to the listing agent, and pushed to Bitrix24 as leads with the source recorded. The delivery column shows the Bitrix24 record ID next to each lead, so nobody wonders whether it made it.
The same buyer enquiring on Property Finder and Bayut shows as two rows, flagged as the same phone, so portal attribution stays honest. You see which portal produced the sale rather than which one the buyer happened to use first. That is the number that decides where next quarter's portal budget goes.
Average first response shows on the dashboard. Per-agent response time reporting is available on Pro.
What about the brokerage's own website?
Your website is a destination like the portals, and PropList serves the one public lead form your site needs.
The form is a single embed script for your own site. Every submission writes a lead and a consent record in the same transaction: the consent text version the visitor agreed to, their IP and the timestamp. Consent text is versioned, so a change creates a new version and old records keep theirs. Withdrawals are recorded against the lead. The form is rate-limited and is never served from a VortexWeb page, so your brokerage is the controller of its own data and can show a regulator exactly what each lead agreed to.
If VortexWeb builds your website, listings publish to it from the same record as the portals, so what is on your site is exactly what is on Property Finder.
What does the agent see every morning?
One screen with everything that needs attention before noon: their listings, the leads assigned to them, and what is about to break.
Live listings against the plan cap. Enquiries in the last 30 days and today, split by source. Average first response and how it moved against last week. Portal rejections. A permit expiring in nine days. A broker card that expired last month and is blocking that agent's listings. Latest leads with source, listing, agent and Bitrix24 delivery status. An activity log of every push, every rejection, every approval, with who did it and when.
The point is that nothing on that screen is discovered later. The rejection is visible the morning it happens, not the week enquiries stop.
What is the Project Explorer?
A private explorer of Dubai's off-plan and project inventory for your brokerage team, built on Dubai Land Department data, so an agent can search, filter, compare, save and take a listing from any project without leaving PropList.
Every project card shows starting price, price per square foot, estimated yield, units, completion percentage, bedrooms, handover date and actual DLD sales in the last twelve months, with an investment score. Filter by type, status, beds, price, developer and area. Switch between cards, table and map. Open a project for the overview, gallery, floorplans, market data, payment plan and investment case. Compare up to four side by side. Save favourites with private notes, group them into collections for a client with a shareable link and a running total, and generate a portfolio PDF.
From any project, one action creates a listing in it.
The data source is Dubai Land Department via Dubai Pulse, attributed on every screen, synced nightly. It is a private tool for the brokerage, not a public portal.
What market data does Vortex PropList include?
Dubai Land Department transaction data and Ejari rental data for the brokerage team, so pricing conversations happen on official figures rather than opinion.
Areas tracked, total transactions, total value, average transaction, freehold and residential share, off-plan versus ready sales, mortgage count.
Registered sales by month, split by all sales, off-plan and mortgaged.

What documents does Vortex PropList generate?
Three client-ready A4 documents on your letterhead, previewed in the app and downloaded as PDF.
Cover, photos and details, location, and the permit with a QR code. Three pages. The document a buyer receives after a viewing.
Overview, gallery, investment case, location and agent. Four to five pages. The document an investor receives when they ask about a project.
Cover, summary table and one page per project for a client's shortlist, built from favourites. The document that closes an investor meeting.
Toggle the payment plan, cost of purchase and mortgage, location and area page, and agent card on or off. Add the client's name. Every generated document is logged with who made it and when.
How does the mortgage estimator work?
Enter property price, down payment percentage, term and rate, and the estimator gives loan amount, monthly instalment, down payment and total interest, plus conservative, standard and maximum scenarios side by side.
The UAE rules are built in: minimum 20% down for expats, 25-year maximum term. The rate is an assumption the agent can change. It is indicative, and it is designed for the moment a buyer asks "what would that cost me a month" and the agent answers in front of them rather than after.
How does Vortex PropList handle compliance?
Permit, broker card and brokerage licence are all checked, and a failure on any of them stops publishing before the portal ever sees the listing.
Reference and expiry on every listing. Expiring permits are flagged in advance, in the dashboard and in a 60-day expiry report. An expired permit blocks republishing.
Every agent holds a broker card under the brokerage. An expired card means that agent's listings cannot be published, and the dashboard says so by name.
The brokerage's ORN and trade licence, and every agent's BRN, are checked against the DLD register and shown as verified with a date.
Hosted in the UAE. No lead data leaves the country. A processor DPA is signed and dated on the brokerage record.
Every website lead carries the consent version, IP and timestamp it was captured with, and withdrawals are recorded.
This is the difference between a listing tool and a compliance tool. Most brokerages find out a listing was non-compliant when a portal rejects it or a regulator asks. PropList finds out before the listing leaves the building.
Who does what in Vortex PropList?
Three roles with a published permission matrix, so an agent's view and an admin's view are different by design.

Reporting depth follows the plan tier. The point of the reports is one decision: which portal is worth what you pay it, measured in enquiries and, through Bitrix24, in closed deals.
