Vortex HR
Vortex HR runs the people side of a UAE brokerage inside Bitrix24, from the job post to the exit interview. Recruit agents with RERA and visa status on the candidate file, generate broker offers with commission split and desk fee, onboard with a checklist that includes RERA registration and CRM access, and then run the working life of every employee: salary certificates, NOCs, leave, time clock, training, approvals, payroll deductions and offboarding. Five role views, one system.

What is Vortex HR?
Vortex HR is a full HR platform for a real estate brokerage, built inside Bitrix24 so an employee record and a CRM user are the same person rather than two entries that drift apart.
A brokerage of thirty or forty people is too large for spreadsheets and too small to justify an enterprise HR platform. So recruitment lives in email, leave requests happen on WhatsApp, salary certificates are typed by hand, and nobody can answer a simple question about who is on leave this week without asking three people. Vortex HR puts all of it where the rest of the business already is. No second system, no second login, no separate subscription.
It is built for the specifics of a UAE brokerage. Candidates carry RERA certification and visa status. Offers carry commission split and desk fee. Onboarding includes RERA registration and listing access. Employees request NOCs for travel and salary certificates for banks. Exits include visa cancellation.
Who uses Vortex HR?
Five roles, each with their own view of the same system, switchable for anyone who holds more than one.
Every agent and staff member: requests, leave, time clock, training, directory, events.
Approvals, onboarding and offboarding, payroll, leave management, attendance reporting, documents.
The day-to-day HR desk: processing requests, time clock approvals, the HR directory.
Job posts, candidates, interview scheduling, offers, hiring reports.
Their interviews for the day, the interview calendar, and their scorecard and decision on each candidate.
How does Vortex HR handle recruitment?
From job post to accepted offer, with a candidate file built for hiring agents.
Title, department, status, number of openings and description. Active roles and drafts in one list.
A pipeline from new through phone screen, scheduled interview, offer and archive, as a board or a list, searchable and filterable by job and stage. Adding a real estate candidate captures what a brokerage actually needs to know: role applied for, years of experience, RERA certified and RERA number, visa status, current location, availability, expected commission percentage, languages, and the CV and RERA certificate as attachments.
Phone interview with notes and a pass or fail. Second interview scheduled with date, time, interviewers and location, with comments and a pass to final. Final interview with a decision. Hiring managers see their interviews for the day and the calendar, and score each candidate on technical and closing skills and team and culture fit, with a recommendation and feedback.
A broker offer generated from the candidate file with commission split, desk or admin fee in AED, whether marketing support is provided, whether the company provides the visa, joining date and offer expiry. Download the offer letter, mark it accepted, or reject.
Time to hire, offer acceptance rate, active candidates, interviews scheduled, open positions and total active employees on one dashboard.
How does onboarding work in Vortex HR?
An accepted offer moves the candidate into an onboarding checklist built for a brokerage, tracked on the HR Manager's Onboarding Centre with a progress bar per hire.
The checklist covers what an agent needs before they can sell: offer letter signed and returned, visa documents submitted, company policy acknowledged, IT equipment assigned, RERA registration completed, bank account set up for commission, CRM and listing access assigned, marketing materials provided. A new hire calendar shows start dates for the month.
For brokerages that also run OnboardX, the two overlap on the checklist. Vortex HR is the full employee lifecycle; OnboardX is onboarding alone as a marketplace app for any business.
What can an employee do in Vortex HR?
Everything they used to ask HR for, from their own screen.
Request one addressed to a bank for a credit card, loan or tenancy, with the salary stated. Tracked in My Requests until approved.
Request a no-objection certificate for travel or a visa application, with the country, dates, salary and reason. Tracked the same way.
See the balance for annual, sick and maternity days, apply with type, dates and reason, and see the leave history for the year. The policy summary sits on the form.
Time in and out with the location recorded on a map and an optional note, so a site visit in Marina is logged as one.
A learning path of scheduled courses, and the Academy with the brokerage's course library: customer service, CRM, product knowledge, difficult conversations, sales techniques, with progress tracked.
Colleagues by name, role and phone. Anything awaiting the employee's own approval. The events calendar with attendees.
Every request with who it is assigned to, the date and the status. Approved certificates and NOCs appear in the Docs Centre for download, with the note that physical copies are collected from HR for signature and stamp.
How does Vortex HR handle attendance and payroll?
Attendance is recorded by the time clock with location, approved by HR, reported by branch and department, and turned into payroll deductions by rules the brokerage sets.
Pending clock-ins with the log type, reviewed by HR Ops before they count.
Every record with time in, time out, hours, location on a map, and whether the person was on site or working from home. Filter by branch, department and agent. Show absentees. Export to Excel or PDF.
For the month, per employee: full-day leaves, half days, late check-ins, early checkouts, days present, and salary. The rules are stated on the screen: late check-in after a set time, a half day deducted from the fourth late arrival, half a day for an early checkout before the set hour. Export to Excel for the payroll run.
Where a brokerage runs SpotClock for attendance, the two overlap on the time clock. Vortex HR's clock is part of the full HR system; SpotClock is attendance alone as a marketplace app for any business.
How does Vortex HR manage leave and approvals?
Every request an employee raises lands in the Approvals Centre for the HR Manager, filtered by date range, with a review action on each.
An overview per employee of remaining annual leave, annual taken and sick taken, with history. All leave requests across the company by date range. A list of who is currently on leave, filtered by department, with the leave type and end date.
Salary certificate requests, NOC requests and leave requests in one queue, each assigned to a person, each with a status.
Every approved certificate and NOC, downloadable, with the generation date.
What else does Vortex HR keep?
Every employee with role, department and phone, editable, with HR notes against each.
Company events with date, time and attendees, by day, week, month or year.
Upcoming birthdays and work anniversaries, so nobody's third year passes unmarked.
Every employee with job title, department, status and employment type, filterable.
How does offboarding work in Vortex HR?
From the employee file, with the steps a UAE exit actually requires.
Exit type, exit date and reason. Final settlement details. The exit document attached. Exit interview and visa cancellation as checks. Then finalise and archive. The Offboarding Centre tracks every exit in progress with last activity, status and progress, so device returns and settlements do not fall between HR and finance.
Is Vortex HR the same as Vortex People, SpotClock or OnboardX?
No, and the distinctions matter.
requires Bitrix24, runs inside your portal, and is built for UAE real estate brokerages: RERA, commission-split offers, NOCs, visa cancellation.
is standalone, runs without Bitrix24, works for any industry anywhere, and launches soon. Different product, different buyer, different platform.
is attendance alone, self-install from the marketplace, for any business. Vortex HR includes its own time clock.
is onboarding alone, self-install from the marketplace, for any business. Vortex HR includes its own onboarding checklist.
A brokerage on Vortex HR does not need SpotClock or OnboardX for the same jobs. A business that is not a UAE brokerage should look at those two, or at Vortex People.
How is Vortex HR priced?
Fixed price, not per employee. Choose one-time, quarterly or yearly. Deployed and configured by VortexWeb inside your Bitrix24, with roles, leave policy, attendance rules and document templates set to how the brokerage operates.
